Why do sales teams stop using their CRM?
What we learned building a platform a real-estate sales team uses every day.
A company buys a CRM, the team is trained, and a few weeks later agents are back on personal WhatsApp and spreadsheets. The problem is rarely the system itself.
The real reason: the system takes and gives nothing back
From an agent’s point of view, most systems ask them to enter data so management benefits, with nothing in return. The system becomes a chore that gets postponed, then ignored.
What we tried in our project
While building a platform for a UAE real-estate company, we focused on three things:
- Working inside the system is faster than outside it: receiving, assigning and messaging leads from one place.
- Agents see the result of what they do: points and levels, where every call, message and deal counts.
- Clear, fair competition: leaderboards and team competitions that make activity visible.
What motivation alone won’t fix
Motivation doesn’t make up for a slow or complicated system. If adding a lead takes two minutes, the team will stop regardless of points. Speed and ease of use come first.
Bottom line
Before asking “which CRM should we buy?”, ask “what does an agent gain by using it every day?”. If the answer isn’t clear, the team will stop using it.
